Privacy policy

BuddyOnSite is an app that construction companies use to share plans, tasks, photos and messages with the people working on their projects. It is operated by 16500412 Canada Inc., doing business as Brilithic Technologies (“we”, “us”). This policy explains what personal information we collect through BuddyOnSite, why, who we share it with, and the choices you have.

We handle personal information in line with Alberta's Personal Information Protection Act (PIPA) and, where it applies, Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

Who decides what's in BuddyOnSite

BuddyOnSite is used by construction companies (our customers). A customer decides who to invite, which projects they can see, and what drawings, tasks, photos and messages are added. We hold that project content on the customer's behalf. If you were invited by your employer or a general contractor, they may have their own privacy practices too, and some requests (for example, removing you from a project) are best made to them.

What we collect

• Account details: your name, email address and/or mobile number, the company you belong to, your role (for example super or trade lead), your trade, and the projects you're on.
• Project content: plan sets and drawings, and in later versions of the app, tasks, photos, messages and issues that you or your team add.
• Activity records: which plan revisions you have opened and when. Opening the current revision of a sheet counts as acknowledging it, and your project's supers, owners and admins can see who has and hasn't opened each revision. We also keep a log of plan uploads, revision changes, acknowledgments and role changes, so there is a record of who did what.
• Technical information: your IP address, browser and device type, sign-in times, and error reports, used to keep the service secure and working. If you turn on notifications, we store your device's push subscription.
• Cookies and device storage: only what the app needs to work, such as your sign-in session and the last project you opened, and copies of current drawings saved on your device when you use Field Hub offline. We do not use advertising or cross-site tracking cookies.

How we use it

• to provide BuddyOnSite: signing you in, showing you your projects, and recording acknowledgments
• to send you sign-in codes, invitations and notifications about new plan revisions
• to keep the service secure, prevent misuse and fix problems
• to respond to your questions and support requests

We do not sell personal information, and we do not use it for advertising.

Text messages (SMS)

If you sign in with a mobile number, we text you a one-time code each time you ask for one. If someone at a company using BuddyOnSite invites you by mobile number, after confirming that you have agreed to receive texts, we send you one text with your invitation link. Message frequency varies with how often you sign in or are invited. Message and data rates may apply. Reply STOP to stop receiving texts, or HELP for help. We keep a record of each consent to receive texts (the number, when and how it was given, and the exact wording) as proof for mobile carriers; your company's owners and admins can see the records for their people. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. This excludes the service providers that deliver the messages, listed below.

Who we share it with

• People on your projects: other members of your company and projects see your name, role and trade, and supers, owners and admins see your acknowledgment records. Architects invited to a project see only that project's plans and related items.
• Service providers that run BuddyOnSite for us, under contracts that limit how they can use the information: Supabase (database, sign-in and file storage), Vercel (app hosting), Twilio (text messages) and our email delivery provider. If we add another provider that receives personal information, we will update this list.
• When required by law, or to protect the rights, safety and security of our users, our customers or the public.
• In a business transfer, such as a merger or sale, where the information stays protected under this policy.

Where it's stored

BuddyOnSite's data is stored and processed in the United States (our database and files are hosted in Oregon). Information stored outside Canada is subject to the laws of that country, and may be accessed by its courts, law enforcement and national security authorities.

How long we keep it

We keep account details while your account is active. Plan revisions, acknowledgment records and audit logs are part of a project's record, so we keep them for as long as the customer company keeps its BuddyOnSite account, unless the law requires otherwise. When a customer closes its account, we delete its data within 90 days, and copies in backups are overwritten in the normal backup cycle.

How we protect it

Information is encrypted in transit. Access is limited by company and by project, and checked by the database itself, so people only see the projects they belong to. Files are kept in private storage and shared only through links that expire. Only staff who need access to run the service have it.

Your choices and rights

You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent to how we use it (which may mean you can no longer use BuddyOnSite). Email privacy@brilithic.ca. We will respond within 30 days. If your request is about project content your company controls, we may refer it to them.

If you are not satisfied with our response, you can contact the Office of the Information and Privacy Commissioner of Alberta or the Office of the Privacy Commissioner of Canada.

Children

BuddyOnSite is a workplace tool for adults and is not intended for anyone under 18.

Changes to this policy

If we change this policy, we will post the new version here with a new effective date. If the changes are significant, we will also tell you in the app.
